Kelio's biometric solutions do not record or store fingerprints or facial images, but an encrypted digital format, therefore safeguarding GDPR compliance.

If you are considering installing a biometric recognition system, it is essential to follow GDPR guidelines and to check the current legislation in the country where the system will be installed.

It’s therefore important that to take the appropriate precautions:

  • Carry out a data protection impact analysis
  • Explain the reasons for using biometrics to the governmental supervisory authority concerned (e.g. the Information Commissioner’s Office in the UK)
  • Add it to the organisation’s data processing register
  • Give advance notice to the persons affected and to staff representatives
  • Choose for a biometric template stored on a badge rather than installed on a central server

Processing biometric data is perfectly acceptable in the UK, but depending on the purposes of the processing, biometrics are forbidden in some states.

What is biometric clocking in?

Biometric clocking in is the most reliable method to collect employees working hours, as it rules out the possibility of “buddy punching”. The key advantages of Kelio's Biometric Clocking In System / Fingerprint Reader are as follows:

How does a fingerprint clocking system work?

A fingerprint clocking-in system, also referred to as a biometric time and attendance system, employs fingerprint recognition technology to monitor and document employees' attendance and working hours. The system functions through the following procedures:

Employee Registration: Each employee is entered into the system by providing their basic details and capturing their fingerprint data. During registration, a fingerprint reader or sensor is used to scan the employee's fingerprint. The system analyses and converts the fingerprint image into a unique biometric template, which serves as a digital representation (key) of the fingerprint.

Clocking In/Out - Fingerprint Verification: When an employee clocks in or out, they place their finger on the fingerprint reader on the clocking terminal. In the event of a match the clocking time is recorded in real-time.

Attendance Recording: The time and date of the clocking event, along with the employee's identity are recorded when the employee clocks in or out.

Access Control: In addition to tracking time and attendance, fingerprint clocking can be used with Kelio’s access control systems. If an employee's fingerprint matches, access to secure areas or facilities can be granted. This can also be done according to their working schedule.

Attendance Reports: The system generates comprehensive reports based on the recorded attendance data for each employee. These reports can include information such as total hours worked, late arrivals, early departures, and absences. Managers can utilise these reports for payroll processing, monitoring attendance patterns, and identifying any attendance-related issues
